Speakers Bureau

A multi-user, web-enabled, client/server system used to manage all aspects of Speaker Bureau meetings for the pharmaceutical industry, from initial invitations, booking of speaker and venue, tracking and reporting, payments of honorarium and expenses, through to final attendance and tests for CME credit. The events range from Grand Rounds in hospitals to dinner meetings in restaurants. All materials, from letters, e-mails, invitations, reports, certificates, etc. are fully customizable. Speakers Bureau has managed over 70,000 meetings for companies including Janssen, Pfizer, AstraZeneca, Merck, Amgen, Novartis, Allergan, and many more. Congress Master

A multi-user, web-enabled, client/server system used to manage virtually all aspects of a congress meeting by an events management company in Canada, including registration, housing, scientific program, sponsorship and exhibits. Congress Master can manage meetings from one-day seminars to week-long international congresses for 15,000 participants. Some of the many events managed include the FIGO World Congress of Gynecology and Obstetrics, World Congress on Pediatric Intensive Care and World Congress of Anaesthesiologists. Office Projects

A multi-user, web-enabled, client/server system used to manage projects for a Property Development Management company in London. Office Projects is used for tracking details for each project, such as finances, planning, design, marketing, project management, etc. Numerous reports can be generated, especially for investors who can view a snapshot at a glance of the overall activity of the project. Office Projects is also used for internal office management such as employee holiday requests and sick days tracking and reporting.

KOL Booking Portal

A web system (using 4D as the back end) used for booking Key Opinion Leaders (KOLs) in the medical field for dermatology and respiratory symposia, advisory boards and other events worldwide. The Medical Directors can review the list of available KOLs, including photos, biographies, current bookings, and a link to detailed publishing information and prescribing statistics. They can then create the meeting in the system and send the invitation to the KOL, who can then respond by accepting or declining. If the Med Director is booking a meeting in a different country, the Lead Medical Director from that country can review the request and approve or deny prior to the invitation being sent. The system warns the Med Director if the KOL was already booked for another meeting around the same time. The portal manages approximately 3,000 KOLs, 500 Medical Directors, and 1,600 events.

KOL On-Site Scheduler

A web system (using 4D as the back end) used for booking Key Opinion Leaders (KOLs) in the medical field for one-on-one and other meetings with the client during a major medical congress. The operations included: coordinating the schedules between the client and KOL, booking the meeting rooms (on and off site), sending confirmation e-mails and reminders (including text messages 15 minutes before the meeting), generating individual on-demand e-mail reports for the client attendees, and linking with a mobile app used onsite. There was also a web portal for viewing the schedule (updated in real time), rebooking meetings and rooms onsite, and contacting KOLs or the client via e-mail or text message relayed through the 4D system. The scheduler handled over 300 meetings during 4 days for over 1,000 attendees (doctors and clients).
